New Outlook Quick Parts Are Here! How to Set Them Up & What’s Missing

For years, Microsoft 365 users have asked one big question:
“Where are my Quick Parts in New Outlook?”

Well, the wait is officially over! Microsoft has rolled out Quick Parts to the New Outlook experience, and today I’m going to walk you through how to set them up, how they work, and what’s still missing compared to Classic Outlook.

Why Quick Parts Matter in New Outlook

Quick Parts has always been one of the most powerful time‑saving features in Classic Outlook. If you reply to the same types of emails daily, these saved snippets can transform your workflow.

For me, Quick Parts was the most‑missed feature in New Outlook. Now that it’s here, you can finally:

  • Reuse pre-written responses
  • Save formatted tables
  • Insert images
  • Maintain hyperlinks
  • Add structure to repeated email replies
  • Work faster with consistent messaging

And yes—there is no limit to how many Quick Parts you can create.

How to Use Quick Parts in New Outlook

Let’s walk through how to insert an existing Quick Part.

  1. Open your email reply.
  2. Type your greeting (e.g., Hello Nestor,).
  3. Select Insert > Quick Parts.
  4. Choose your saved snippet.

You’ll notice you can add emojis or icons to your Quick Parts by pressing Windows Key + . (period). This helps visually organize them since New Outlook does not allow sorting or rearranging the items.

How to Create a New Quick Part

If you already built your response with images, formatting, tables, and all; here’s how to save it:

  1. Highlight the section of text you want to save.
  2. Go to Insert > Quick Parts.
  3. Select Save selection to Quick Parts.
  4. Give it a name (add an emoji if you’d like).
  5. Click Save.

Now you can insert it into any email with one click.

Managing Your Quick Parts in New Outlook

There are two ways to manage Quick Parts:

  • From Insert > Quick Parts > Manage Quick Parts, or
  • Go to View > View Settings > Mail > Quick Parts.

Inside the management panel, you can rename or delete items—but not reorder or categorize them.

Also important:
If you manage multiple accounts (like I do), Quick Parts are account‑specific.
Example: Adele’s Quick Parts cannot be used in Teresa’s mailbox, and vice versa.

FAQ: New Outlook Quick Parts

Are Classic Building Blocks & Categories supported in New Outlook?

Classic Outlook offered galleries and categories for organizing Quick Parts.

These features are not available in New Outlook.
Microsoft shared that future updates will be based on user feedback, so if you want this functionality back—make sure your voice is heard!

Where are Quick Parts Stored Now?

In Classic Outlook, Quick Parts were saved in a NormalEmail.dotm file.

This meant that if you changed devices, your Quick Parts didn’t follow you.

New Outlook solves this. Quick Parts are now stored in the cloud, making them available across:

  • New Outlook Desktop
  • Outlook on the web
  • Outlook mobile

This is a huge win for users.

Can You Import Classic Quick Parts into New Outlook?

Short answer: No.

Classic and New Outlook do not sync.

  • Classic Quick Parts will not appear in New Outlook
  • New Outlook Quick Parts will not appear in Classic

You must manually recreate your items.

It’s a great opportunity to refresh outdated content and keep only what’s still relevant.

Can You Still Use Keyboard Shortcuts to Insert Quick Parts?

In Classic Outlook, you could type a few characters, and the prompt appears to insert a Quick Part.

This feature is not supported in New Outlook.

Again, Microsoft said this may change based on feedback.

Quick Parts

  • Snippets you insert into a reply
